MMIS EXCEPTION CONTROL

When creating a new document in MMIS or updating an existing document the EXCEPTION CONTROL function in MMIS posts exception codes (edits) when there is an entry error or an entry conflicts with other information in MMIS.

Exception codes display the same on all MMIS screens of the document. Four edits are displayed at one time. Function key F8 is used to view additional edits.

In the table below the screening document has five edits posted (103, 238, 735, 169, 230). The first ADD1 screen displays four edits. The F8 function key was used to display the remaining edit seen in the second ADD1 screen print below.

How to check for edits on a document.

  1. In Add or Change mode after all data has been entered the next step is to check for edits by pressing function key F9.
    • F9 is not available in inquiry mode.
    • F9 triggers MMIS to compare the information just entered with history and information stored in MMIS.
    • When there is a conflict of information MMIS posts one or more edits.
  2. When edits are posted it is important to look at the ST field for the status of the edit to determine if any action can or should be taken.
    • Status of 6 is informational only. Read the edit text and generally no action needs to be taken.
    • Status of 3 will deny the document and needs to be resolved.
    • Status of 4 suspends the document and needs to be resolved.
  3. To determine why the edit is posting refer to the long or short text describing the edit.
  4. To display the long text for an edit place the cursor on the edit number and press function key F4.
    • Many times the edit text includes instruction about how to resolve the edit.
    • Other times the edit text may instruct worker that edit must be resolved by a DHS reviewer.
    • To return to the document press function key F6.
  5. After correcting the error causing an edit to post worker presses function key F9 again.
    • When an edit has been resolved the edit no longer posts.
  6. When all edits have been resolved worker presses function key F3 to save the document and exit.
    • Edits with status of 6 remain posted on the document and do not prevent the document from being approved.
    • Edits with a status of 3 or 4 that require DHS to review the document remain posted on the document and the document routes to DHS for review. DHS reviewer resolves reviewer edits.
  7. As a general rule F3 is used when entering data into MMIS and worker is ready to save entries and exit the document.
  8. As a general rule F6 is used in inquiry mode or after F4 navigation to exit without saving. Exiting a document using function key F6 will not save entries.

MMIS navigation for edits

  1. To view additional edits when there is a + or +/- following the LI EXC ST USER ID fields place cursor in edit area and press F8 to advance and F7 to return.
  2. In the example above there were more edits than could be displayed on the screen.
    • MMIS allows four edits to be displayed at a time.
    • The second row of the table shows edit 230 posted after F8 was pressed.
  3. MMIS will post up to 25 edits on a document.
    • If there are more than 25 edits posted on a document then the last edit posted will be edit 899 - MORE THAN 25 EXCEPTIONS.
    • In order to view the remaining edits some of the edits currently posted must be resolved.
